Vehicle Handover Specialist

We are looking for a communicative colleague (male or female) for a customer-focused Vehicle Handover Specialist to manage the check-out and check-in process for our rental fleet.

Core Responsibilities:

  • Prepare vehicles for handover, confirming cleanliness, fuel level, mileage, and roadworthiness before pickup
  • Conduct thorough vehicle inspections at check-out and check-in, documenting existing damage, scratches, and wear with photos and condition reports
  • Walk customers through the rental agreement, vehicle features, controls, and safety information at handover
  • Verify customer identification, driver’s license, and payment/deposit details in line with company policy
  • Process vehicle returns, confirming fuel, mileage, and condition against the original handover report
  • Identify and report new damage, mechanical issues, or cleanliness concerns to the workshop/valeting team immediately
  • Coordinate with the Fleet Manager and workshop team to ensure vehicles are turned around quickly between rentals
  • Accurately complete and file all handover, inspection, and return documentation
  • Resolve minor customer queries or escalate disputes over vehicle condition or charges professionally
  • Support fair wear-and-tear and damage billing decisions by providing clear, well-documented evidence

Skills:

Key Responsibilities

  • High school diploma or equivalent required
  • Previous experience in car rental, dealership, valet, or customer-facing automotive role preferred
  • Valid driver’s license with a clean driving record
  • Strong attention to detail, particularly when inspecting and documenting vehicle condition
  • Excellent customer service and communication skills
  • Comfortable using tablets/handover apps or digital inspection tools
  • Physically fit

Nice to Have

  • Experience with digital vehicle inspection or fleet management software
  • Basic knowledge of vehicle mechanics or common wear-and-tear issues
  • Experience handling damage billing or dispute conversations with customers
  • A second language relevant to the local customer base

Work place and times

We look forward to having you on-site in our office in Windhoek,  (Southern Industrial).
Full-time employment: Monday to Friday roughly 08:00-17:00. Weekend work on every other weekend as required, depending on whether or not handovers and returns are due.
