Junior Reservations Consultant

We are looking for a communicative, detail-orientated Junior Reservations Consultant (male or female) to join our team. You will be a key point of contact for customers, tour operators, and travel agents booking vehicles with us, helping turn enquiries into confirmed reservations and giving every customer a great first impression of Kalahari Car Hire. As we serve a large international customer base, fluency in a European language in addition to English is a strong plus.

Your core responsibilities:

  • Handle incoming reservation enquiries by phone, email, and online booking channels
  • Create, amend, and confirm vehicle reservations accurately in the booking system
  • Check vehicle availability across the fleet to fulfil bookings
  • Provide accurate information on vehicle types, rates, rental terms, and add-ons (GPS, child seats, additional insurance)
  • Planning and coordinating shuttle services to and from the airport or other agreed locations in coordination with clients and service providers; scheduling drivers for vehicle deliveries and returns.
  • Welcoming customers on arrival, explaining rental conditions, and serving as the first point of contact on-site.
  • Process deposits, payments, and cancellations in line with company policy
  • Liaise professionally with local and international customers, tour operators, and travel agents
  • Follow up on outstanding quotes and unconfirmed bookings to help maximize conversion
  • Maintain accurate and up-to-date customer and booking records
  • Assist walk-in and phone customers with rental queries, providing excellent service throughout
  • Escalate complex, high-value, or problem bookings to senior reservations staff
  • Support the reservations team with general administrative tasks as needed

Skills:

Requirements

  • High school diploma or equivalent
  • 0–2 years of experience in reservations, customer service, hospitality, or travel preferred, but not essential
  • Excellent verbal and written communication skills in English
  • A foreign language (e.g. German, French, Dutch, Italian, Spanish, Russian) is highly beneficial given our international customer base
  • Strong attention to detail and accuracy when processing bookings and payments
  • Comfortable using booking/reservation software, email, and Microsoft Excel
  • Friendly, professional telephone manner and a customer-service mindset
  • Ability to multitask and stay organized in a fast-paced environment

A valid driver’s license and good driving skills are essential for this role.

 

Nice to Have

  • Fluency in German, French, Dutch, Italian, Spanish or Russian
  • Experience with car rental or travel booking systems
  • Background in tourism, hospitality, or the travel industry
  • Familiarity with Namibia’s tourist routes and destinations

Work Location & Hours:

We would love to have you join us on-site at our office in Windhoek.
This is a full-time position, with working hours from Monday to Friday, approximately 08:00–17:00.
