Join our Customer Service and Reservations team

Junior Reservations Agent

We are looking for someone to join our team as a Junior Reservations Agent (male or female).

Are you ready to become the first friendly voice our customers hear? In this role, you will be the primary point of contact for our clients – whether by email, reservations platforms, phone or live inhouse. You’ll handle inquiries, prepare tailored offers, and manage reservations with accuracy and care.

With a keen ear for customer needs and questions, you’ll ensure that all information is correctly entered into our system and shared with the other departments. Working closely with your colleagues, you’ll help guarantee a seamless rental experience from the first interaction to the vehicle’s return – ensuring our customers enjoy a smooth and stress-free journey.

Your core responsibilities:

  • Handling inquiries, both written and by phone, including preparing quotes and reservations by means of the booking software, and advising customers as needed.

  • Shared responsibility for all customer communication before, during, and after the rental period.

  • Recording all relevant information – such as travel details – accurately in the booking system.

  • Transfer organization: Planning and coordinating shuttle services to and from the airport or other agreed locations in coordination with clients and service providers; scheduling drivers for vehicle deliveries and returns.

  • Performing Meet & Greets: Personally welcoming customers on arrival, explaining rental conditions, and serving as the first point of contact on-site.

  • Supporting the team with additional tasks as required.

  • Excellent Communication Skills: Confident verbal and written communication in English (other foreign language skills like German, French, Spanish or the like beneficial). You maintain a respectful, warm, and service-oriented approach across all channels – whether by phone, email, or other platforms.

  • Customer Orientation: You offer friendly, patient, and professional support to clients and prospective customers alike.

  • Accuracy and Attention to Detail: You handle data such as booking information and customer preferences with precision and care.

  • Digital Skills: Confident use of email programs and common Office applications (Word, Excel, PowerPoint), plus a genuine interest in using apps, software tools, and digital solutions to streamline work processes.

  • Time Management: You work efficiently, managing multiple tasks and inquiries simultaneously without losing focus or quality.

  • Team Spirit: You enjoy collaborating with colleagues to ensure smooth service operations and contribute to a positive workplace atmosphere.

  • Can-Do Attitude: You bring a positive, solution-focused mindset and take initiative when facing challenges or customer concerns.

  • Driver’s License Required: A valid driver’s license and good driving skills are essential for this role.

Minimum qualifications:

  • Grade 12 certificate
  • Tertiary education beneficial

Work Location & Hours:

We would love to have you join us on-site at our office in Windhoek (Southern Industrial).
This is a full-time position, with working hours from Monday to Friday, approximately 08:00–17:00.
