Accounts Administrator

Are you detail-oriented, reliable, and enjoy working with numbers? We are looking for an Accounts Administrator (male or female) to join our team in Windhoek. In this key role, you’ll help ensure the smooth running of our financial processes – from managing invoices and payments to supporting our day-to-day operations with accurate bookkeeping and reporting. Your core responsibilities:

  • Bookkeeping & Accounting
    Accurately capture all sales and expenses; ensure rental agreement details (e.g. vehicle registration numbers, damage invoices, payment records) are correctly captured in QuickBooks Online; generating and issue invoices; finalise monthly bank reconciliations; assist with resolution of accounting issues in collaboration with external accountant; prepare and submit monthly management accounts
  • Client, Supplier & Payment Management
    Log client payments in online reservations system; Manage and confirm pre-authorisation cancellations; assist clients and suppliers with any questions related to payments or invoices
  • Compliance & Admin
    Manage and submit monthly Social Security payments; ensure renewal of annual fitness certificates is completed on time; support the team during budget and annual financial statement preparations; keep accurate, up-to-date, and well-organized records and filing systems; maintain documentation: invoices, vehicle registration forms, service books, spare keys, and key holders for newly received vehicles
  • Communication & General Support
    Communicate clearly and professionally with vendors, customers and team members; assist colleagues with office tasks such as stationery orders and general administrative coordination
  • Reporting
    Report on account status, identify and escalate any discrepancies as needed

Your core skills:

  • Proven experience in accounting, bookkeeping or finance (2+ years preferred)
    You have hands-on experience in financial administration, preferably within a dynamic business environment. You’re comfortable managing financial records, handling reconciliations, processing invoices, and working with budgets and reports.
  • Strong knowledge of QuickBooks Online or similar accounting software
    You are confident using cloud-based accounting platforms to manage transactions, generate reports, and ensure accurate financial tracking. You understand how to structure data efficiently and can troubleshoot or adapt to changes in the system when necessary.
  •  Solid MS Excel skills and overall digital confidence
    You are proficient in Excel, including formulas, pivot tables, and basic reporting tools. You’re also comfortable using other Office applications and digital tools (e.g. cloud storage, project management tools, or integrations with booking software) to streamline work.
  • Excellent attention to detail and high level of accuracy
    You take pride in getting things right the first time. Whether it’s reconciling accounts or double-checking entries, you’re known for spotting errors and maintaining clean, reliable financial records.
  •  Strong time management and multitasking abilities
    You can manage multiple responsibilities simultaneously without losing focus. You’re capable of prioritising urgent tasks, meeting deadlines, and staying organised—even when the pace picks up.
  •  Professional communication skills in English (and German an advantage)
    You communicate clearly and respectfully, both in writing and in person. You’re comfortable corresponding with clients, colleagues, vendors and external stakeholders in English. Basic German skills are a bonus and appreciated, since many clients are german-speaking.
  •  Ability to work independently and as part of a team in a fast-paced setting
    You are self-motivated and capable of taking initiative, but also a collaborative team player who supports others and contributes to a positive work culture. You can handle changing priorities and stay calm under pressure.
  • Relevant tertiary qualification in accounting, finance, or business (advantageous)
    A diploma or degree in accounting, finance, or business administration strengthens your profile. However, equivalent practical experience and a strong work ethic are equally valued.

Minimum qualifications:

  • Grade 12 certificate
  • Tertiary education beneficial

Work Location & Hours:

We would love to have you join us on-site at our office in Windhoek (Southern Industrial).
This is a full-time position, with working hours from Monday to Friday, approximately 08:00–17:00.
